The best landscaping and grounds maintenance software in the UK (2026)

9 October 2026

The best landscaping and grounds maintenance software for UK firms in 2026: recurring rounds, quoting, invoicing and teams, with UK prices and honest limits.

By Kian McKiernan, founder of Traddie. Sources linked throughout; see also our editorial policy.

Before the list: we make number one

Traddie is our software, and it is first on this list. We think it is the best fit for most UK landscapers and gardeners, but you should know who is writing. Prices for the others were checked on their UK websites in October 2026 and can change.

What landscaping software needs to do

Landscaping is two businesses in one. Maintenance is repeat visits: the same gardens every week or fortnight through the growing season, rounds that need planning, and lots of small invoices. Build work is projects: site visits, detailed quotes, materials and deposits. Good software handles both.

  • Recurring jobs and maintenance rounds that schedule themselves.
  • A calendar and map so you can plan the day's route.
  • Quotes with options, for example a basic and a full garden tidy.
  • Invoices, card payments and automatic chasing.
  • Photos before and after, as proof of work.
  • VAT and, for anyone working for main contractors, CIS.
  • A team view if you have staff, and a phone app that works in the van.

1. Traddie: best for UK sole traders and small teams

Traddie is job management, quoting and invoicing software built in the UK for trades, and it suits landscaping and garden maintenance well. Recurring jobs and service plans handle maintenance rounds, with the next visits tied to the plan and visible to the team. The schedule shows jobs on a map, so you can plan the day's route. Quotes can carry more than one option, invoices go out with a card payment link, and overdue ones are chased automatically.

VAT and CIS are built in, receipts are read into expenses when you photograph them, and invoices sync with Xero, QuickBooks, FreeAgent and Sage. Customers get a branded portal with every quote, invoice and visit, and can book online. On the Pro and Team plans, Jodie, Traddie's AI agent, will chase late payers, invoice finished jobs and move visits for you when you message her.

  • Price: Solo £9.99 a month, Pro £19.99, Team from £49.99. Free trial when you download the app.
  • Best for: sole traders and small teams who do a mix of maintenance and build work.
  • Watch out for: large commercial contractors managing hundreds of sites under contract may want a dedicated contract management platform.

2. Tradify: best known all rounder

Tradify is a popular job management app with quoting, scheduling, invoicing and accounting sync. On its UK pricing page it is £34 per user per month on Lite, £37 on Pro and £44 on Plus, with a 14 day free trial. Compliance certificates start on Pro, and its AI tools and purchase orders are on Plus.

  • Best for: teams who want a well known, established app.
  • Watch out for: per user pricing adds up quickly with a crew. Four people on Plus is £176 a month before add ons.

3. ServiceM8: best for pricing by jobs, not people

ServiceM8 prices by the number of jobs a month rather than by user. Its UK plans run from Free (one user, 30 jobs a month) through Starter at £25 for 50 jobs, Growing at £59 for 150 jobs, Premium at £119 for 500 jobs, to Premium Plus at £269 for 1,500 jobs, all excluding VAT, with unlimited users on paid plans.

  • Best for: crews with lots of people and a predictable job count.
  • Watch out for: a maintenance round of many short visits can push you up the job tiers quickly, because every visit counts as a job.

4. Jobber: built around recurring visits

Jobber is a North American field service app with strong recurring job tools and a client portal, which makes it popular with lawn care businesses in the US and Canada. It works in the UK, but check its UK pricing, VAT handling and payment options against what you need before you commit.

  • Best for: maintenance led businesses that want a mature recurring jobs workflow.
  • Watch out for: it is built for the North American market first.

5. Contract management platforms: best for big commercial grounds contracts

If you run grounds maintenance for councils, housing associations or facilities managers across many sites, with service level agreements, attendance records and audit trails, you are into heavier field service territory. Platforms such as simPro, BigChange and Joblogic are built for that kind of work. They are more powerful and more expensive, and they usually need setting up with the vendor.

  • Best for: commercial contractors with office staff and many sites.
  • Watch out for: far more than a small landscaping business needs, at a price to match.

Spreadsheets and accounting software alone

Plenty of gardeners start with a spreadsheet, a diary and their accounting software. It works until you have more than a handful of regular customers. The cost is the evenings spent building invoices by hand and the visits that slip because nobody scheduled them. Accounting software such as Xero or QuickBooks does invoices well, but it doesn't plan rounds or hold job notes and photos.

How to choose

Whatever you pick, run the free trial on a real week of your own work: set up your regular customers, send a real invoice and take a real payment. You will know within days. See what Traddie does for landscapers and gardeners.

Receipts read into expenses, so materials land on the right job.
  • Mostly maintenance rounds, on your own or with a small crew: Traddie or Jobber.
  • A mix of maintenance and build work, UK VAT and CIS: Traddie.
  • Big crew, steady number of jobs: compare ServiceM8's job based pricing.
  • Large commercial contracts across many sites: a contract management platform.

Common questions

What is the best software for a landscaping business?

For a UK sole trader or small team, look for software that handles recurring maintenance visits, quoting, invoicing, card payments and VAT in one app. We make Traddie and think it is the best fit for most UK landscapers and gardeners. Bigger commercial grounds contractors may need a field service platform built for contracts.

Is there free landscaping software?

ServiceM8 has a free plan for one user and 30 jobs a month. Most others, including Traddie, offer a free trial rather than a free plan.

What features does grounds maintenance software need?

Recurring jobs on a schedule, a calendar your team can see, route or map view, quotes and invoices, photos for proof of work, payment by card or direct debit, and reporting on what each contract makes.

Can landscaping software handle recurring maintenance contracts?

Most can schedule repeat visits. Check whether it can also bill them automatically and show you the profit on each contract, which is where the time goes.
