What a Job Sheet Is For

A job sheet is the record of what actually happened on site. Not what you quoted, not what you invoiced, but what you did, what you fitted, how long it took and who signed to say it was finished.

It matters for three reasons: it stops arguments about scope, it supports the invoice when somebody queries it three weeks later, and it is the only reliable way to find out whether the job made money.

What to Include on a Job Sheet

  • Job reference and date. A unique number that ties the sheet to the quote and the invoice.
  • Customer and site address. The site is often not the billing address, so record both.
  • Work requested. What you were called out to do, in the customer words where possible.
  • Work carried out. What you actually did, in enough detail that somebody else could follow it.
  • Parts and materials used. Quantities and part numbers. This is what tells you whether your pricing is right.
  • Time on site. Arrival and departure, including a second visit if there was one.
  • Further work required. Anything you found but did not do. This is where your next job comes from.
  • Engineer name and signature. Who did the work.
  • Customer signature. Confirmation the work was completed and the site left as expected.

Why the Customer Signature Matters

A signed job sheet is the single cheapest piece of dispute protection available to a trade business. It is contemporaneous evidence that the work was done, that the customer saw it, and that nobody raised a problem at the time.

When a customer disputes an invoice two months later, the conversation changes completely depending on whether you have a signature on a sheet describing the work. Without one it is your word against theirs. With one, it is a document they signed.

If a customer will not sign, note that on the sheet along with the reason and the time. That is still a record, and it is far better than nothing.

Job Sheet, Worksheet, Invoice: What Is the Difference?

  • Job sheet. The record of work done on site, signed by the customer. Internal and evidential.
  • Worksheet or timesheet. Hours worked, usually per person per day, used for payroll and job costing rather than for the customer.
  • Invoice. The request for payment. It should be derived from the job sheet, not written from memory a week later.

The chain runs quote, job sheet, invoice. When a business invoices from memory instead of from the sheet, the parts fitted on the day quietly stop appearing on the bill.

Paper or Digital?

Paper job sheets work right up until the pad gets wet, left in the van, or filled in from memory at half nine that night. The information is only useful if it is captured while you are standing in front of the work.

A digital job sheet solves the practical problems: photographs attach to the record, the customer signs on the phone screen, and the sheet reaches the office before you have reached the van. It also means the parts you used are already on the invoice rather than being remembered later.

What should I do if the customer is not there to sign?

Record that on the sheet with the date and time, note who you spoke to if anyone, and take photographs of the completed work. Photographs with timestamps are strong evidence in their own right and are often better than a rushed signature.
